What tools does an SDR actually need?

The short answer

Six. A contact data tool, sending inboxes on separate domains, an email verifier, a sequencer with warmup built in, a CRM that logs activity on its own, and a dialer if you call. Get those six working before you buy anything else. For one email-first SDR, the core stack runs about $102–$132 a month as of September 2026.

How we research this: facts come from each vendor’s public pages and named studies, dated where shown; the math is ours and labeled. Vendor prices and limits are as of October 4, 2026.

What are the 6 tools every SDR needs?

Six layers, one job each. Leave a layer out and the others work harder for less. Prices are list prices from each vendor's own page, shown as monthly billing / billed annually (per month).

Layer What it does Our budget pick Price (as of Sept 2026) Go deeper
1. Contact data Finds the emails (and phones) of the people you target Hunter (emails) or Lusha (email + phone) Hunter Starter $49 / $34, credits shared by unlimited team members. Lusha Starter $49.90 / $37.45, 1 seat Best B2B contact data provider
2. Inboxes + domains Real mailboxes on secondary domains, so cold email never touches your main domain Google Workspace Business Starter + Porkbun domains $8.40 per inbox monthly (Flexible plan) or $84 a year (Annual plan). Porkbun .com $11.08 a year Cheapest cold email stack
3. Email verifier Removes bad addresses before they bounce MillionVerifier $89 for 50,000 credits (about $1.78 per 1,000) Best email verification tool
4. Sequencing + warmup Sends the emails and follow-ups, rotates inboxes, warms them up Instantly (email-first) · Smartlead (agencies) · lemlist (email + LinkedIn + calls) Instantly Growth $47 / $37.60; Hypergrowth $97 / $77.60 Best cold email software
5. CRM Logs every email, call and meeting so no follow-up gets lost HubSpot Free (up to 2 users) · Pipedrive Growth for a team HubSpot Free $0. Pipedrive Growth $49 / $39 per seat Best CRM for founder-led sales
6. Dialer (if you call) Places and logs calls from your list Aircall (business phone + power dialer) · parallel dialers for high volume Aircall Essentials $40 / $30, Professional $70 / $50 per license a month; 3-license minimum Best parallel dialer

None of this is fancy, and that's on purpose. An SDR gets paid for conversations. Each tool here either starts one or stops one from slipping away.

When should you skip each pick?

One skip line per tool, from the table above.

  • Hunter: skip it if you call. Its pricing page lists credits for finding and verifying emails and doesn't mention phone numbers, so test a sample first.
  • Lusha: skip it if you only email. At $49.90 a month for 400 credits it costs far more per email than Hunter's $49 plan with 2,000 credits shared by unlimited team members, and it's one seat per plan.
  • Google Workspace and Porkbun: skip Google if you'd rather cut the inbox bill or mix providers. Microsoft 365 Business Basic lists at $5.40 per user a month paid yearly without Teams. See the cheapest cold email stack.
  • MillionVerifier: skip it if your list is a few hundred hand-checked contacts you'll never reuse. The smallest pack is 10,000 credits for $39.
  • Instantly: skip Growth if you'll upload more than 1,000 contacts in total (one rep at about 504 new prospects a month passes it in month two). Skip Instantly entirely for client work: each workspace needs its own subscription. For its plans and contact caps, see is Instantly worth it.
  • Smartlead: skip it if you sell for one company. Its edge is client workspaces and mailbox management for agencies, which an in-house SDR doesn't use.
  • lemlist: skip Multichannel if your reps already pay for a dialer and a LinkedIn tool. At $109 per user a month, you'd buy both twice.
  • HubSpot Free: skip it once you have more than 2 users, or need calling inside the CRM or sequences.
  • Pipedrive: skip it with two or fewer users. HubSpot Free covers up to 2 users at $0, while Pipedrive Growth costs $49 per seat a month ($39 billed annually).
  • Aircall: skip it with fewer than 3 reps or if you don't call. It has a 3-license minimum, so Professional is at least $210 a month on monthly billing.

What does each layer actually do for you?

Every layer guards the next one. Cut a corner early and you pay for it later in the funnel.

  • Data is the fuel. Bad records turn into bounces, dead numbers and wasted dials. ZeroBounce found at least 23% of an email list goes bad each year (11B+ addresses, 2025; ZeroBounce calls it a low estimate), so you never finish this job.
  • Separate sending domains are a firewall. When a campaign misfires, the hit lands on a spare domain, not the one your customers and invoices use.
  • Verification keeps those domains healthy. Verified lists bounce less, and bounces hurt the domain you send from, so verify before every send. At well under a cent a contact, nothing else in the stack is cheaper insurance.
  • The sequencer remembers so the rep doesn't have to. Instantly's Cold Email Benchmark Report 2026 found that on Instantly's platform 42% of replies come from follow-ups, not the first email. Our house cadence: an initial email plus 4 follow-ups on days 0, 3, 7, 10 and 14.
  • The CRM is the scoreboard. If reps have to log activity by hand, the pipeline view is fiction inside two weeks.
  • The dialer turns a list into live talk time. In Cognism's State of Cold Calling 2024, from one vendor's own SDR team, about 1 in 6 dials reached a person (16.6%).

What does an SDR stack cost per month?

Our worked examples, at list prices. Swap in your own numbers.

Assumptions (ours): 4 inboxes per rep on 2 domains; about 30 cold sends per inbox per day (Pipe Playbook guideline; see how many cold emails per day per inbox); 21 sending days a month; 5 touches per prospect. That's 4 × 30 × 21 = 2,520 emails and about 504 new prospects per rep per month.

Example 1: one email-first SDR

Layer Pick Monthly billing Billed annually (per month)
Data Hunter Starter $49.00 $34.00
Inboxes 4 × Google Workspace Business Starter $33.60 $28.00
Domains 2 × Porkbun .com ($22.16 a year ÷ 12) $1.85 $1.85
Verifier MillionVerifier, 504 contacts × $0.00178 $0.90 $0.90
Sequencing + warmup Instantly Growth $47.00 $37.60
CRM HubSpot Free $0.00 $0.00
Total $132.35 $102.35

The math: $49.00 + $33.60 + $1.85 + $0.90 + $47.00 = $132.35 a month; $34.00 + $28.00 + $1.85 + $0.90 + $37.60 = $102.35 on annual plans. Your first month costs more in cash: the domains and the $89 verifier pack are paid up front.

Watch one limit. Instantly Growth allows 1,000 uploaded contacts in total, and that number doesn't reset each month (Instantly Help Center). At about 504 new prospects a month you hit it during month two. Delete finished leads from your campaigns to free space, or move to Hypergrowth.

Example 2: a 3-rep team that emails and calls

Layer Pick Monthly billing Billed annually (per month)
Email data Hunter Starter (1 plan, shared) $49.00 $34.00
Phone data Lusha Starter × 3 $149.70 $112.35
Inboxes 12 × Google Workspace Business Starter $100.80 $84.00
Domains 6 × Porkbun .com ($66.48 a year ÷ 12) $5.54 $5.54
Verifier MillionVerifier, 1,512 contacts × $0.00178 $2.69 $2.69
Sequencing + warmup Instantly Hypergrowth (1 shared workspace) $97.00 $77.60
CRM Pipedrive Growth × 3 $147.00 $117.00
Dialer Aircall Professional × 3 (power dialer) $210.00 $150.00
Total $761.73 $583.18
Per rep $253.91 $194.39

The math: monthly, $49.00 + $149.70 + $100.80 + $5.54 + $2.69 + $97.00 + $147.00 + $210.00 = $761.73, or $253.91 per rep. On annual plans, $34.00 + $112.35 + $84.00 + $5.54 + $2.69 + $77.60 + $117.00 + $150.00 = $583.18, or $194.39 per rep. Annual billing saves about $178.55 a month here, and Aircall alone accounts for $60 of it.

Why Pipedrive and not HubSpot Free: HubSpot's free CRM stops at 2 users. Why Hypergrowth: on Instantly, inviting team members starts on Hypergrowth, so three reps share one workspace. Why Aircall: its 3-license minimum is exactly a 3-rep team, the Power Dialer comes with Professional, and its pricing page lists HubSpot and Pipedrive integrations on every plan, with Salesforce from Professional.

What's not in these totals?

The totals cover the six core layers at steady state. Three costs sit outside them:

Left out What it adds
First-month cash Domains and the verifier pack are paid up front, not spread over 12 months. Example 1 on monthly billing: $49.00 + $33.60 + $22.16 + $89.00 + $47.00 = $240.76 in month one, against $132.35 a month after that. Example 2: $908.98 in month one, against $761.73 after.
LinkedIn Sales Navigator Core is $119.99 a month, or $89.99 a month on annual billing, per rep. See is Sales Navigator worth it.
Conversation intelligence Fathom Business is $34 per user a month, or $25 billed annually, with a 2-user minimum. See is Gong worth it.

Example 2's month-one math: $761.73 − $5.54 − $2.69 + $66.48 + $89.00 = $908.98. Example 1's totals already include Hunter at $49 (monthly billing), so month one is the only difference.

Now hold that bill up against the work it supports. The Bridge Group's 2025 SDR report puts the median SDR at 112 activities a day (44 phone, 41 email, 19 LinkedIn, 8 text or other). A tool earns its line only if it makes those touches faster or better.

Which SDR tools can you skip at the start?

Most of them. Buy the next tool when your numbers show a real bottleneck, not before.

Tool Skip it until… Why
Standalone warmup tool Your sequencer doesn't include warmup Instantly, Smartlead and lemlist include it. See best email warmup tools
Parallel dialer Each rep has enough fresh, callable numbers to keep several lines busy every day Dialing several lines at once eats through a small list. Run the 5-point fit check in best parallel dialer first
LinkedIn Sales Navigator Reps prospect on LinkedIn every day Core is $119.99 a month, or $1,079.88 a year ($89.99 a month) billed annually. See is Sales Navigator worth it
Conversation intelligence You have enough recorded calls to coach from See is Gong worth it for cheaper options
AI SDR A human-written sequence already books meetings and you want more volume See best AI SDR tools
All-in-one engagement platform You have a team big enough to need manager-level forecasting See Outreach vs Salesloft

In what order should a small team add the layers?

Our guidance for one to three people: add each layer when a trigger fires, not because a stack diagram has a box for it. The one-week setup below covers how to wire them up. This list covers when each piece earns its place.

  1. Before the first send: data, inboxes and domains, verifier, sequencer. Nothing goes out without all four, and the last three protect your sending reputation. Minimum per rep: a seat on one data source, 4 inboxes on 2 domains, verified lists, one sequencer with warmup.
  2. Before the first reply: a CRM that logs email on its own. Free is fine up to 2 users. A third user is your cue to pay for seats.
  3. When you start calling: a dialer. Only once you hold callable numbers for your list. An email-only rep skips this step; a team that calls from day one, like Example 2, buys it up front.
  4. When you add a rep: 4 more inboxes and 2 more domains. Don't push existing inboxes past our guideline of about 30 sends a day. At 4 inboxes that's about 120 sends a day per rep.
  5. When a plan limit blocks you: upgrade that one tool. Contact caps, team members and user counts are the usual walls. Each is listed in the skip notes above.

Reply volume shows why step 2 comes before the first reply. Invented example: say 1 in 50 emails draws any reply. One rep's 2,520 emails a month would bring about 50 replies (2,520 ÷ 50 = 50.4), roughly 2 per sending day over 21 days. Three reps send 7,560 emails and see about 151 replies (7,560 ÷ 50 = 151.2), roughly 7 per sending day. Seven a day is more than anyone tracks from memory, and three users is past HubSpot Free's 2-user cap, so that's where a paid seat with automatic logging earns its fee.

Skip anything that isn't on this list until a trigger names it.

Should you buy an all-in-one tool instead?

Only when one tool truly retires two bills. lemlist Multichannel ($109 per user a month, or $87 billed annually) runs LinkedIn steps and a built-in dialer inside the same sequence as your emails, with 5 senders per user. A rep with no dialer and no LinkedIn tool may come out ahead. A rep who already pays for both would be buying them twice.

Use the same test on any bundle. Write down what it replaces, total those prices, and compare. No win on the math? Keep the layers separate.

How do you set up an SDR stack in one week?

Work in this order. Each day depends on the one before.

  1. Day 1: Domains and inboxes. Buy two lookalike domains per rep, redirect them to your main site, and set up two inboxes on each.
  2. Day 1: Authentication. Add SPF, DKIM and DMARC to every sending domain, with DMARC at p=none to start. See SPF, DKIM and DMARC explained.
  3. Day 2: Sequencer and warmup. Connect all the inboxes and switch warmup on. Plan the ramp with how long to warm up a new domain.
  4. Day 2: CRM. Hook up Gmail or Outlook and the dialer so emails and calls land in the CRM on their own.
  5. Day 3: Data. Build the first list from your ideal customer profile. Skip the broad search.
  6. Day 3: Verify. Push the whole list through the verifier. Drop the invalids and put catch-alls in their own segment.
  7. Day 4: Write. One sequence: a first email under 80 words (Instantly 2026) and 4 follow-ups, on days 0, 3, 7, 10 and 14. Template: the cold email follow-up sequence.
  8. Day 5: Size the target. Enter your meeting goal in the Pipe Playbook calculator and work backward to daily sends and dials. Warmup keeps going; real sends start when your ramp says they can.

Frequently asked questions

What is the minimum tech stack for an SDR?

A data tool, sending inboxes on secondary domains, a verifier, a sequencer with warmup, and a CRM that logs activity. Add a dialer if you call. For one email-first SDR, that's about $102–$132 a month at list prices.

Do SDRs need a paid CRM?

Not on day one. HubSpot's free CRM covers up to 2 users. Pay for seats when you need calling inside the CRM, more users, or sequences.

Do SDRs need a dialer?

Only if they call. For most small teams, a business phone with a power dialer is enough. A parallel dialer pays off when every rep has enough fresh, callable numbers to keep several lines busy. Check your data first: one team's connect rate in Cognism's 2024 data was about 1 in 6 dials.

How many inboxes does an SDR need?

We start at four: at about 30 cold sends per inbox per day (our guideline), that's roughly 120 a day, spread over two domains. Full planner: how many cold emails per day per inbox.

Is LinkedIn Sales Navigator a must-have for SDRs?

No. It pays off for reps who prospect on LinkedIn every day. Core costs $119.99 a month, or $1,079.88 a year on annual billing (about $89.99 a month). See is Sales Navigator worth it.
