How Many Cold Calls Does It Take to Book a Meeting?

The short answer

About 220 dials per meeting in one vendor's own SDR data. Cognism's State of Cold Calling 2024 tracked its own team's 55,701 dials, which produced 254 meetings: 16.6% of dials connected, 57% of connects became conversations, and 4.82% of conversations became meetings. Your number depends on which of those stages is weakest, so measure each one and fix the biggest gap first.

What are the stages of the dial-to-meeting funnel?

Five stages, and each one has its own benchmark and its own fix:

Stage Formula Benchmark (one team's rate)
1. Connect rate Connects ÷ Dials 16.6% (Cognism 2024)
2. Conversation rate Conversations ÷ Connects 57% (our math on Cognism's 5,265 of 9,247)
3. Meeting rate Meetings set ÷ Conversations 4.82% (Cognism 2024)
4. Show rate Meetings held ÷ Meetings set No trustworthy public benchmark: use your last 90 days
5. Attempts per prospect Calls ÷ Prospects called 3, the "optimal number of cold call attempts" (Cognism 2024)

Multiply stages 1 to 3 and you get about 0.46% of dials turning into a meeting, or roughly 1 in 220 (our math on Cognism's totals).

How do I find where my funnel is broken?

Compare each ratio to its benchmark and look for the biggest gap, not the lowest number.

  1. Take fourteen days of activity for one rep on one list and count each stage: calls, pickups, real conversations, bookings, shows, and tries per prospect.
  2. Compute each ratio.
  3. Divide each ratio by its benchmark to get "% of benchmark."
  4. The lowest "% of benchmark" is your leak. Coach only that stage this month.

Worked example (illustrative, not real data): 800 dials, 104 connects, 70 conversations, 2 meetings.

Stage Rep Benchmark % of benchmark
Connect rate 13% 16.6% 78%
Conversation rate 67% 57% 118%
Meeting rate 2.9% 4.82% 60%

Most managers would attack the connect rate first, because it's below the benchmark and easy to see. But at 78% of benchmark it's close. The meeting stage, at 60% of benchmark, is the leak. Buying new data or rewriting the opener would miss it.

How do you fix each stage?

Leaking stage Fix first
Connects Data, caller ID and timing. Cognism's report says mobile numbers get the highest response and that most meetings were booked at 11am and 2pm. In Hiya's State of the Call 2024 survey of consumers (not B2B buyers), 77% said they're more likely to answer when they know who's calling. Don't touch the script. See why prospects don't answer unknown numbers
Conversations The opening: lead with a clear reason for your call (see our cold call openers play). Clean switchboards and stale titles out of the list
Meetings The ask: put two real calendar slots on the table instead of a vague "maybe we could connect." Coach objections and the ask on recorded calls. The wording of the ask is in what words get a prospect to put a time in the calendar. See discovery without interrogating
Held Calendar invite accepted while still on the line, recap right away, confirm that morning, rebook no-shows quickly
Attempts Load at least three call attempts into the sequence so they happen automatically

How many times should you call a prospect?

At least three. Cognism's 2024 report names three as the optimal number of cold call attempts to connect with a lead. Connect rate is measured per dial; reach is measured per prospect, and only more attempts move reach.

How do you know the fix worked?

Make a single change and track that ratio for another 14 days, keeping rep, buyer type and list constant. Up? Keep it and tackle whichever stage now trails furthest. Flat? Wrong diagnosis. Two traps: a brand-new list shifts every stage at once, and seven days is too short to trust.

Frequently asked questions

What is a good conversation-to-meeting rate on cold calls?

In Cognism's 2024 data, 4.82% of conversations became meetings (254 of 5,265). If you're well below that while your connect and conversation rates are healthy, work on the meeting ask and objection handling.

Is 1 meeting per 220 dials normal?

It's what Cognism's own SDR team got across 55,701 dials (our math on its totals), not an industry norm. Better data, cleaner caller ID and a sharper ask can each move it; the diagnostic above tells you which one to start with.

What's the difference between a connect and a conversation?

A connect is any pickup. A conversation is the right person hearing why you called. Gatekeepers, wrong people and instant hang-ups count as connects but not conversations.

Is there a benchmark for meeting show rate?

Not one we trust enough to publish. Track your own over the last 90 days and improve it with a live invite, a same-day recap and a morning-of confirmation.

Should I fix more than one stage at a time?

No. Fix one stage, measure for two weeks, then move on. Otherwise you can't tell which change worked.
